By hiring equipment from Silent Disco Party Hire (SDPH), you agree to the following Terms & Conditions. 1. Equipment Hire & Responsibility SDPH agrees to provide the equipment specified in your booking in clean, working condition for the agreed hire period. Once the equipment has been delivered to you or collected by you, full responsibility for the equipment rests with the hirer until it is returned to, or collected by, SDPH. This responsibility includes all equipment supplied, including (but not limited to): headphones, transmitters, stands, lights, microphones, mixers, cables, chargers, flight cases, and accessories. All equipment must be: • Stored securely at all times • Not left unattended or in unsecured areas • Returned in the same condition as supplied (fair wear and tear excepted) 2. Equipment Condition & Faults All equipment is checked, fully charged, counted, and cleaned prior to delivery or collection. You must inspect the equipment immediately upon delivery or collection. If any item is missing or not functioning, SDPH must be notified as soon as possible during the hire period so assistance can be provided. SDPH reserves the right to decline refunds for faults reported only after the equipment has been returned and tested as fully operational. Where possible, spare equipment may be supplied to mitigate unexpected issues, however SDPH does not guarantee uninterrupted operation in all circumstances. 3. Identification & SecurityThe hirer must provide a current Australian driver’s license or acceptable photo identification at the time of collection or delivery. A copy may be retained for security and verification purposes. SDPH reserves the right to refuse hire if: • The responsible hirer cannot be clearly identified • The equipment’s security or return cannot be reasonably assured • The venue or circumstances present an unacceptable risk to the equipment 4. Cancellations & Booking ChangesBooking changes may be requested up to 21 days prior to the event date, subject to equipment availability. Cancellations within 21 days of the event will incur a 50% cancellation fee. Cancellations within 14 days of the event will incur a 100% cancellation fee. All cancellation fees are calculated on the total hire amount. 5. Loss, Damage & Replacement Costs The hirer is responsible for the cost of repair or replacement of any equipment that is lost, stolen, or damaged beyond normal wear and tear. Replacement costs include (but are not limited to): • Silent Disco Headphones: $100 each • Transmitter: $150 each • Emergency Transmitter & Spare Cables Case: $200 • Disco Light: $150 each • Microphone: $100 each • Charger: $65 each • Cable: $15 each • Tripod Stand: $150 each • Mixer: $250 • Flight Case: $250 • Additional charges may apply for shipping, restocking, and supplier fees.6. Cleaning Fees Excessive cleaning beyond normal use (including but not limited to paint, makeup, glitter, or heavy soiling) will be charged at: $50 per hour for significant cleaning.7. Payment Authorisation (No Bond Required)SDPH does not require a bond for equipment hire. By placing a booking, the hirer authorises SDPH to securely retain their payment card details on file for the duration of the hire period.The hirer authorises SDPH to charge the card on file only in the event of:• Loss, theft, or damage to equipment• Equipment returned incomplete• Excessive cleaning required beyond normal use• Late return or failed collection where additional fees applyAny charges will be reasonable, itemised, and in accordance with the replacement and cleaning fees outlined in these Terms & Conditions. Where practicable, SDPH will notify the hirer prior to processing any additional charges.8. Additional Charges & Debt Recovery Additional charges may apply where equipment is not returned on time, returned incomplete, or requires excessive cleaning or repair. In the event that debt recovery is required, all reasonable recovery and collection costs will be payable by the hirer. 9. Delivery & Collection Customer collection and return is free of charge. Delivery and collection by SDPH is available for a fee. Current fees are listed on our website and may vary due to fuel and operational costs. If delivery or collection times are agreed and the hirer is not present or contactable at the agreed time, a $20 fee may apply. 10. Return of Equipment All equipment must be returned: • Packed correctly in the supplied flight cases • Complete and in good condition • At the agreed return or collection time Missed collections or late returns may result in additional hire or collection fees. 11. Orders & Availability All bookings are subject to availability and acceptance by SDPH. If SDPH is unable to fulfil a confirmed booking, the hirer will receive a full refund. SDPH reserves the right to decline or modify bookings where timely return of equipment cannot be reasonably assured. 12. Privacy SDPH respects your privacy and only collects personal information necessary to process and fulfil your booking. This may include your name, contact details, and identification. Your information will not be used for marketing purposes or shared with third parties, except where required by law. 13. Acceptance of Terms By placing a booking, or accepting delivery or collection of equipment, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
